Connecting QuickBooks

How to link a QuickBooks company to ZenBot, and what it asks for.

Connecting for the first time

  1. Open ZenBot on your own machine — by defaulthttp://localhost:3000. More on finding it.
  2. Go to Integrations.
  3. Choose QuickBooks from the list.
  4. Select Connect QuickBooks.
  5. Sign in at Intuit and choose the company you want to connect. Intuit will show you what access is being requested.
  6. Authorise it. You are returned to ZenBot, and QuickBooks shows as connected.

What access it asks for

ZenBot asks to read your accounting data:

  • invoices, expenses and transactions
  • the reports QuickBooks generates from them

It does not ask for permission to create, change or delete anything in your QuickBooks account, and it cannot do so. What it reads is stored on your own machine and is not sent to us — the privacy policysets out exactly what happens to it.

Reconnecting

A connection needs renewing when its authorisation expires, when someone revokes it at the Intuit end, or when the access ZenBot needs changes. The Integrations page marks it as needing attention when that happens.

  1. Open Integrations and choose QuickBooks.
  2. Select Reconnect on the banner at the top of the page.
  3. Sign in at Intuit and authorise again, as above.

Reconnecting to the same company leaves the data already synced in place. It replaces the authorisation, not the records.

If it will not connect

  • Intuit rejects the sign-in. Check you are signing in to the account that owns the company you want, not a personal Intuit account.
  • It connects but reads nothing. The authorisation may have been granted for a different company. Disconnect and connect again, choosing the right one.
  • It worked before and has stopped. Reconnect using the steps above. Authorisations expire and need renewing periodically.
