Privacy policy
How ZenBot handles your information. Last updated 10 August 2026.
The short version. ZenBot runs on hardware you control. We do not operate a server that receives your data, so there is no copy of it for us to read, sell, lose or hand over. Nothing leaves your machine unless you switch on a feature that sends it, and you choose where it goes.
Who is responsible for your data
This is the unusual part, and it matters for everything below. ZenBot is software you install and run yourself. It stores what it holds on your own hardware, under your own accounts.
That makes you the controller of the information that ZenBot handles.Context Loops Ltd supplies the software; it does not receive, process or store the data you use it with. Where this policy says "we", it means the supplier of the software, not the holder of your data.

What ZenBot stores, and where
ZenBot keeps the things it works with — messages, tasks, documents, calendar entries, email, contacts and the records it syncs from services you connect — in a database on the machine you installed it on. It stays there. There is no upload step and no account with us to create.
Information from QuickBooks
If you connect QuickBooks, ZenBot reads your accounting data so it can answer questions about it and build the reports you ask for.
What is accessed
- Accounting data — invoices, expenses, transactions and the reports QuickBooks generates from them.
- Your company identifier, so ZenBot knows which QuickBooks company it is reading.
ZenBot requests read access. It does not create, alter or delete anything in your QuickBooks account.
What happens to it
It is stored on your machine alongside everything else ZenBot holds, and used only to answer your questions and produce the reports you have asked for. It is not sent to us. It is not sold, shared or used for advertising, and it is never used to train anybody's models.
How long it is kept, and how to remove it
It is kept until you remove it. Disconnecting QuickBooks stops any further reading immediately and deletes the accounting records ZenBot has stored. You can also revoke access from inside QuickBooks itself, which has the same effect at the Intuit end. How to disconnect covers both.
Language models
Some features — summaries, reports, answering a question in your own words — work by sending text to a language model.
These features are off until you turn them on, and you choose the model. That can be one running on your own machine, in which case nothing leaves your hardware at all. It can be a hosted service, in which case you supply your own account and key, and your relationship is with that provider directly. We do not stand between you and them, and we do not see what passes.
If a feature would send your financial data somewhere, ZenBot tells you before it does it. Nothing about your QuickBooks data is sent to any model unless you have configured one and asked for something that needs it.
Other services you connect
The same principle covers everything else. ZenBot talks to Google, Atlassian, Slack, Intuit and any other service you connect, using credentials you supply, from your machine. Each of those services has its own privacy policy governing what it does at its end. We add nothing to that list on your behalf.
What we collect
From your use of ZenBot, nothing. The software does not report usage back to us, and there is no analytics or telemetry in it.
The zen.bot website itself is a set of static pages with no tracking, no advertising and no cookies of ours. If you email us, we hold that email in order to reply to it.
Your rights
Under UK data protection law you have rights of access, correction, erasure, restriction, objection and portability over personal data held about you. Because your ZenBot data sits on your own hardware, you exercise most of these directly — the records are in front of you, and you can read, change or delete them without asking anyone.
For anything we do hold, such as correspondence, write to[email protected]. If you are not satisfied with our response you may complain to the Information Commissioner's Office at ico.org.uk.
Children
ZenBot is a tool for work and is not directed at children under 13.
Changes to this policy
If this policy changes, the date at the top changes with it. Where a change materially affects how the software handles your information, it will be described in the release notes for the version that introduces it, rather than only here.
